This Privacy Policy explains how SparkyRole (“SparkyRole,” “we,” “us”) collects, uses, shares, and protects information when you use the SparkyRole web application, marketing site, and related services (the “Service”). By using the Service you agree to the practices described here. If you don’t agree, please don’t use the Service.
1. Information we collect
We collect three categories of information:
a. Information you give us
- Account & billing. Name, email address, password (hashed), company name, phone number, billing address, and payment-method details (handled by our payment processor).
- Project & jobsite data. Projects, leads, clients, subcontractors, scopes, estimates, proposals, invoices, daily logs, punch lists, schedules, photos, videos, voice recordings, plan files, and other content you create or upload.
- Communications. Messages you send to support, feedback, and survey responses.
b. Information collected automatically
- Usage data. Pages and features used, actions taken, timestamps, performance metrics, error reports.
- Device & log data. IP address, browser type, operating system, device identifiers, referring URLs.
- Cookies and similar technologies. See “Cookies & analytics” below.
c. Information from third parties
- Payment processors share limited information needed to confirm payments (e.g. last four digits of a card, whether a charge succeeded).
- Email and authentication providers may share delivery/bounce or sign-in status.
- AI providers may return derived metadata (e.g. token counts) about content you submit through AI features.
2. How we use information
We use information to:
- Provide, secure, monitor, and improve the Service;
- Authenticate users and prevent fraud or abuse;
- Process billing and send transactional notices (receipts, password resets, security alerts);
- Provide customer support and respond to your requests;
- Run AI features you opt in to use (see “AI processing”);
- Send product updates and marketing — you can opt out at any time;
- Comply with legal obligations and enforce our Terms of Service.
We do not sell your personal information, and we do not use your project content (photos, scopes, estimates, voice recordings, etc.) to train third-party AI models for other customers.
3. Legal bases (EEA/UK users)
If you are in the EEA or UK, we rely on the following legal bases:
- Contract — to provide the Service you signed up for.
- Legitimate interests — to keep the Service secure, prevent abuse, and improve features.
- Consent — for optional marketing emails and certain cookies.
- Legal obligation — tax, accounting, and regulatory record-keeping.
4. How we share information
We share information only with:

All providers are bound by contractual confidentiality and data-protection obligations.
5. AI processing
When you use AI features, we send the relevant input (for example, a scope description, project photos, voice recording, or plan file) to a third-party AI provider over an encrypted connection. The provider returns a generated result that we show to you. We instruct AI providers not to retain your inputs for model training, and we configure their APIs in line with that requirement where supported.
AI output may be inaccurate — review every AI-generated estimate, proposal, schedule, or punch-list item before relying on it. See our Terms of Service for more.
6. Data retention
We retain account and project data for as long as your account is active and for a reasonable period afterward to comply with legal, tax, and accounting obligations, resolve disputes, and prevent fraud. You can delete individual items inside the Service at any time. To request deletion of your full account, email charlespeytonlewis@gmail.com; we will delete or anonymize your information within 30 days unless we are required to keep it.
7. Security
We use industry-standard safeguards to protect your information, including TLS encryption in transit, encryption at rest for backups, hashed passwords, role-based access controls, audit logging, and routine vulnerability monitoring. No system is 100% secure — if we ever experience a breach that affects your data, we will notify you in line with applicable law.
8. Your rights & choices
Depending on where you live, you may have the right to:
- Access the personal information we hold about you;
- Correct inaccurate or incomplete information;
- Delete your information (subject to legal retention requirements);
- Restrict or object to certain processing;
- Receive a portable copy of your data;
- Withdraw consent for processing that is based on consent;
- Lodge a complaint with your local data-protection authority.
To exercise any of these rights, email charlespeytonlewis@gmail.com. California residents can exercise rights under the CCPA/CPRA the same way; we do not sell or “share” personal information for cross-context behavioral advertising.
9. Cookies & analytics
We use a small number of essential cookies to keep you signed in and to remember your preferences. We may also use privacy-respecting analytics to understand how the Service is used in aggregate. You can clear or block cookies in your browser; doing so may affect functionality such as staying signed in.
10. Children
The Service is intended for adult business users. We do not knowingly collect personal information from children under 16. If you believe a child has provided personal information to us, contact us and we will delete it.
11. International transfers
SparkyRole is operated from the United States. If you access the Service from outside the U.S., your information will be transferred to and processed in the U.S. and other countries where our service providers operate. We rely on standard contractual clauses or other lawful transfer mechanisms where required.
12. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be communicated by email or in-app notice before they take effect. The “Last updated” date at the top reflects the most recent revision.
